Job Summary
A Chiropractic Assistant (CA) plays a key role in supporting the smooth operation of a chiropractic practice. This position involves direct patient interaction, administrative duties, and assisting the chiropractor in providing care. The CA ensures the clinic maintains a welcoming, organized, and efficient environment for patients and team members.
The ideal candidate should be friendly, organized, and detail-oriented, with strong interpersonal skills. They must also demonstrate initiative in completing tasks, maintain professionalism, and be attentive to patients' needs and the requirements of the chiropractor(s).
Key Responsibilities
1. Patient Interaction & Customer Service
- Greet Patients: Warmly greet patients and make them feel welcome and comfortable.
- Schedule Appointments: Manage patient scheduling efficiently. Think through patient flow, optimizing the chiropractor's time and avoiding scheduling conflicts.
- Patient Intake & Documentation: Collect, verify, and update patient information, including insurance cards, health history, and subjective details for current condition.
- Educate Patients: Be able to explain all of our services, treatment plans, and office policies to new and returning patients. Inform patients of non-covered services.
- Provide Guidance: Help patients with check-in/out processes and answer any questions they may have. Explain fees and accept payment for copays/deductibles at the time of service.
- Follow-Up: Show patients orthotics and pillows and go over break-in instructions; explain dosing information for prescribed supplements; scheduling changes as needed.
2. Clinical Support
- Prepare Patients for Treatment: Guide patients to treatment rooms and help them settle comfortably. Scan patients’ feet, measure patients for pillows and give patients outcome assessments as appropriate.
- Assist Chiropractor During Treatment: Help chiropractor(s) document clinical notes in the treatment rooms and hand them equipment as needed. Communicate treatment and schedule changes with other staff members.
- Administer Modalities: Think through patient flow and apply therapies as trained: spinal decompression, MLS laser, NeuroMed electroanalgesia, Back On Trac/CerviTrac, Knee On Trac, shockwave, Nerve Plate and Foot Power.
- Document Patient Progress: Record treatments and therapies performed and ensure accuracy in patient records to maintain consistency.Update goals for patient treatment plans and enter outcome assessment scores.
- Perform Basic Clinical Tasks: Measure and document vital signs, including blood pressure, pulse, and weight if needed.
3. Administrative Duties
- Handle Patient Billing: Assist in managing billing inquiries and collecting copays or payments.
- Maintain Inventory: Monitor and order office and medical supplies, ensuring the clinic is stocked with necessary items.
- Record Management: Organize patient files, input electronic health records (EHR), and ensure proper documentation.
- Answer Calls and Emails: Handle incoming calls and emails professionally, addressing inquiries or routing them to the appropriate team member.
4. Light Cleaning & Clinic Maintenance
- Sanitize Treatment Areas: Disinfect tables, equipment, and tools after each use to maintain a hygienic space. Prepare the room setup for the next patient.
- Tidy Up Waiting Areas: Regularly clean and organize the reception and waiting areas for a professional appearance. Check that restrooms are stocked with toilet paper, paper towels and soap.
- Maintain Treatment Rooms: Ensure all rooms are stocked with necessary supplies, such as shorts, gowns, cleaning cloth, paper towels, Kleenex and treatment tools.
- Laundry Duties: Launder, fold, and put away towels, cleaning cloths, shorts/gowns, and other washable items.
- General Cleaning: Sweep, mop, dust, and take out trash as needed to keep the clinic presentable and clean.
- Organize Storage Areas: Keep supply rooms organized and restock items for ease of access during treatments.
Skills & Qualifications
Required Skills
- Customer Service Orientation: Excellent people skills to create a welcoming atmosphere and handle patient concerns empathetically.
- Organization: Strong organizational abilities for managing appointments, paperwork, and multitasking effectively.
- Communication Skills: Clear, concise communication, both verbally and in writing, for interacting with patients, the chiropractor(s), and insurance providers/other professional businesses.
- Basic Computer Proficiency: Familiarity with Microsoft Office Suite, scheduling software, EHR systems, and general data entry.
- Basic Knowledge of Anatomy: While not required, a basic understanding of human anatomy and chiropractic terms is beneficial.

Physical Requirements
- Mobility and Dexterity: Frequent standing, walking, and occasionally sitting, as well as lifting, bending, and reaching.
- Strength: Ability to lift and handle equipment or move supplies, occasionally lifting up to 30 pounds.
- Stamina: Ability to stand or move for extended periods during shifts.
- Fine Motor Skills: Capable of handling small tools or equipment, as well as typing and data entry.
Working Conditions
- Clinic Environment: Most work is conducted in a chiropractic office setting, with exposure to typical office and medical equipment.
- Direct Patient Contact: Regular interaction with patients in varying conditions of health; CA must be comfortable with providing a calming presence.

Qualifications
- High School Diploma or Equivalent: Required.
- Prior Experience/Relevant Certifications: Experience in a medical office, chiropractic, or physical therapy setting is preferred but not required. Chiropractic assistant training or certification in medical assisting, CPR, etc., is a plus, but not required.
